What is the difference between Standard ID and Gauge ID of Standard ?


In my Gauge Entry > Standards window and in my Calibration Entry > Measurements window, there is Standard ID and Gauge ID of Standard.

What is the difference between these two items ?


If you can think of Standard ID as being the test point or a description of what is being measured and its size. Examples that you might use for Standard ID are as follows:

1. Gauge Block .500 Inch
2. Gauge Block .750 Inch

Or
1. Pressure Check 25 psig
2. Pressure Check 50 psig

Or
1. Weight 5 grams
2. Weight 10 grams

Or
1. Temperature Check 200 Deg. F.
2. Temperature Check 400 Deg. F.

The Gauge ID of Standard positively identifies exactly which particular item was used for each calibration measurement. Examples of Gauge ID of Standard might be :
 GB-024489-A (Gauge Block Set)
 DWT-9545458 (Dead Weight Tester)
 WT-GR-3374 (Weight Set)
 PY-59476-B (Pyrometer)

How do I remove a Standard ID without deleting the Gauge record ?


The Record Selector bar is the vertical bar that forms the left edge of a record. There is a large one for the gauge record and smaller ones for each Standard ID.

To delete any one of the standards, please click (highlight) the Record Selector bar to the left of the Standard ID you want to remove, then click the delete key on your keyboard or the delete button on the GAGEtrak Toolbar. (The delete button is fourth from the left on the GAGEtrak Toolbar and looks like a red X. When you point to it with your mouse pointer, it will display “Delete Record.")

Why does GAGEtrak need a Trigger Code and how do I get one ?


After I installed my software with the Install Code, it is telling me that it will expire in 30 days and that I will need a Trigger Code.
What is a Trigger Code and how do I get one ?


A Trigger Code is a number that is entered into your GAGEtrak program to register the software and remove the expiration date. You can enter your Trigger Code as soon as you have installed your software. When you are viewing GAGEtrak’s Main Menu, click Data Tools on the left side of the menu, then click Modify License on the right side. This will open the Modify License window, in which the Trigger Code will be entered. If GAGEtrak has already expired, the Modify License window will appear. If you have GAGEtrak 6.59 (or newer) software and you are connected to the Internet, you can click the [Get Online Trigger] button to automatically obtain your Trigger Code from our CyberMetrics website and register your software. Upon successful completion of this process, you will get a message telling you that your software has been registered. If you are not able to use the [Get Online Trigger] button or have an older version of GAGEtrak, you can generate a Trigger Code through our website. Please click on the following link or copy and paste it into your browser: http://www.cybermetrics.com/onlinetriggers/.


1) Enter your GAGEtrak Serial Number into the window and click the [OK] button.

2) Go back to GAGEtrak’s Modify License window and copy your Code Entry Number.

3) Paste it into the CyberMetrics Online Trigger Code Generator.

4) Go back to GAGEtrak’s Modify License window and copy your Computer ID Number.

5) Paste it into the CyberMetrics Online Trigger Code Generator.

6) Click the button to generate your Trigger Code. Paste this Trigger Code into GAGEtrak’s Modify License window.

7) Click the [OK] button in GAGEtrak’s Modify License window. If your software is older than GAGEtrak 6.59, you will get a message telling you that the expiration date has been removed.

While registering GAGEtrak using "Get Online Trigger" button, there is an error - "Could not find Serial Number". In the Modify License window, it shows Serial Number as E202599C-DF1 (or 297862003).


E202599C-DF1 is your Install Code.
297862003 is the Serial Number that is in the sample database that comes with GAGEtrak.

If your copy of GAGEtrak has not yet expired, you can enter the correct Serial Number into GAGEtrak or link to the current GAGEtrak database on your server already containing your Serial Number.
If you do not know what your GAGEtrak Serial Number, please call CyberMetrics Technical Support.

If you are already linked to the database that contains your company’s gauges, you can enter your Serial Number into the About window.
While viewing GAGEtrak’s Main Menu, on the menu bar, click Help > About.
There is a place for your Serial Number on the right side of the window.
After you have entered or changed your Serial Number, you can click the [x] control in the upper right corner to close the window.

If you are linked to the sample database for GAGEtrak, you can link to your company’s database by returning to the Main Menu and clicking File > Open Database from the menu bar.
There is a [Browse] button in the Open Database window to allow you to navigate to the location of your database, GTData65.mdb, and open it.

How do I get my Trigger Code online ?


You no longer need to call CyberMetrics to register your GAGEtrak product by typing in a Trigger Code. The code may be obtained on line. Please follow the steps below.

1. Log in to Windows as Administrator.
2. Your correct and complete Serial Number is necessary. A serial number may have one of two formats.
The original format is GTW00000000. If you only have the numeric portion, please insert the GTW in front of the numeric portion. The new format is XX00-XX00.
3. If you do not know your Serial Number, please contact Technical Support at:
support@cybermetrics.com – include your name, company name and city location. Call Technical Support at 480-922-7300.
4. Your serial number is entered or modified in the Help > About screen.
If GAGEtrak has already expired, have the Serial Number handy when doing the following steps.
5. Open GAGEtrak to the Modify License screen.
If GAGEtrak has already expired, on the screen to Register (obtain a Trigger Code) click OK. This will bring you to the 'Modify License' screen.
If GAGEtrak opens to the Main Menu, go to Data Tools > Modify License.
6. If you have a button on the Modify License screen which says “Get On Line Trigger," please click it. If you do not have this button, skip to step 8.
7. You should get a pop up asking you to wait while your computer connects to our server. The next pop up should say your product is registered. Click OK and your registration is complete.
If this computer is not connected to the internet, use a computer which is connected and continue with step 8.
8. Do not close GAGEtrak, launch your internet browser and go to http://cybermetrics.com | Support | Trigger Code.
9. You must input your Serial Number to enter the Generator.
If your Serial Number is not recognized, you will get a message instructing you to call Technical Support. (See step 3)
10. The numbers required on this page are on the Modify License screen in GAGEtrak. Please type the numbers into correct fields and click OK.
11. The Trigger Code should appear in the Trigger Code field. Please type it into the Trigger Code field on the Modify License screen and click OK.
If you get a message indicating that a Trigger Code can not be generated, please call Technical Support. (See Step 3)

Our company has 10 licenses for GAGEtrak as well as a current Software Support and Maintenance Agreement. I would like to download the newest update from your website. Will I have to download the software 10 times for the 10 workstations ?


No, you may download it just once to your server (or download it once to your desktop and then copy it to your server).
You can then install the update on all of your GAGEtrak workstations by browsing to the server and installing the same file 10 times.
The name of the GAGEtrak file that you will download from our CyberMetrics website is named setup.exe.
You may rename this file to correspond with the version of GAGEtrak that you have downloaded; for example, Setup GAGEtrak 6.62.exe.
The same numbers that you are provided to install a specific update can be used on all of your workstations.
During the installation of the update on each of the workstations, you will be prompted to enter the Extraction Code, your Install Code and your GAGEtrak Serial Number.

Why aren't my records displayed in the correct order ?


When I go into Gauge Entry or Calibrations Entry, my records are not in order.
Sometimes my Calibration Standards and Measurements are not in order either.
Why does this happen ?


It is one of the features of GAGEtrak that you can sort your records by almost any of the fields in the entry screens. You can place your cursor in a field, then click the [A->Z] Sort Ascending or [Z->A] Sort Descending button on the GAGEtrak toolbar (which appears above the entry screen). You can sort your records in Form View or Datasheet View.

Gauge Entry: By default, Gauge Entry is sorted by Gauge ID in ascending order. Sometimes it is useful to go into Gauge Entry and switch to Datasheet View and sort gauges by Description, Current Location or Owner. At other times, it may be useful to sort gauges by Status or Calibrator or Next Due Date.

Calibration Entry: When you go into Calibration Entry, you are viewing your calibration history. The most useful way to sort your calibration history is by Calibration Date, in descending order. If your records are sorted in this manner, whenever you go into Calibration Entry, you will be viewing your most recent calibration.

Calibration Standards and Calibration Measurements: These records are sorted by Standard ID and this sort order should never be changed. If your standards or measurements are not displayed in the order in which you will use them, you can force the order of your Standard IDs to appear in the correct order by numbering them.

Sort Order: The sort order in GAGEtrak is alpha-numeric, which puts blank records at the beginning of the list, followed by symbols, then numbers, then letters. Records are not sorted in numerical order. If you are using twelve Calibration Standards to calibrate a gauge, you can force them to appear in correct order by numbering them as follows:

If the items are more than 9, add a single preceding 0 to the first nine item names for a correct sort. Otherwise the sort order would be: 1, 10, 11, 12, 2, 3, 4, .. etc..
So also, for more than 99 items, please add two preceding 0's to the first nine items. Then for the next ninety items, add a single preceding 0 to achieve a numbering like 001, 002, 003, etc., for a correct sort.
More than 999 items will require a numbering like 0001, 0002, 0003, and so on..

Sometimes when you are viewing your gauges in Gauge Entry, it may appear that the records are out of order when you have sorted them in an ascending order by Gauge ID.
If you switch to Datasheet View, you will discover the cause. You may have put a space before the Gauge ID. Some Gauge IDs may have a space where the others have a dash (hyphen), or some may have no spaces. GAGEtrak treats a space the same way it treats a letter, a number or a symbol.

Can I print maintenance / calibration labels from GAGEtrak ?


Yes !
You can print professional, durable labels from your GAGEtrak software using our Calibration Label Kit.
The kit includes a printer, cables, software and labels.

Why doesn't GAGEtrak have ¾ inch or ⅜ inch calibration labels ?


GAGEtrak comes with ¼ inch, ½ inch and 1 inch calibrations labels. These are the sizes that have been most used and requested during the last 20 years by our valued customers. These also represent the most readily available tape-cartridge tape sizes. To print ¾ inch or ⅜ inch labels, please use the Custom-Reports Report-Editor in GAGEtrak and modify a existing label of the closest size and save it as your ¾ inch label or ⅜ inch label report.

If you are not sure how to use Custom Reports but would like to print a ¾ inch label or a ⅜ inch label, please contact Technical Support. We have a few of these label-reports that we can email to you right away. These labels can be easily imported into GAGEtrak and used immediately.

Why do all GAGEtrak labels print at 4 inches long ?


Why do all GAGEtrak labels (calibration labels or gauge labels) print at 4 inches in length even when I try to print a label that is 1 inch long ?

Required permissions are missing for the Brother P-Touch label printer.
To correct this problem, please click your Windows [Start] button, then select Settings > Printers and Faxes.
In the Printers and Faxes window, highlight your Brother P-Touch label printer and right-click.
Then select Properties from the dropdown menu.
Next, select the Security tab.
In this window, you can assign permissions for groups and users for the printer.

In order to print different sizes of labels in GAGEtrak, permissions are required to:
[x] Print
[x] Manage Printers
[x] Manage Documents

In the top section of the window, highlight the Everyone group. In the lower section of the window, add the checkmarks to any of the three checkboxes that are missing for Everyone to [x] Print, [x] Manage Printers and [x] Manage Documents.

Why can I not see the GAGEtrak database file, or browse to it when running GAGEtrak in Windows Vista ?


Under Windows Vista, I am having trouble opening my GAGEtrak database. I cannot see the database file from 'Open Database' upon clicking the Browse button.
I know my file is there. Why can I not see the file or browse to it when I am using GAGEtrak ?


A Windows setting is hiding your files and folders.

Change this setting by following these instructions:
Click on the Windows [Start] button on the Windows Taskbar.
Click on the Control Panel menu option.
When the control panel opens, you can either be in Classic View or Control Panel Home view.

If you are in the Classic View, do the following :
Double-click on the Folder Options icon.
Click on the View tab.
Under the Hidden files and folders section select the option labeled Show hidden files and folders.

If you are in the Control Panel Home view, do the following :
Click on the Appearance and Personalization link.
Click on Show Hidden Files or Folders.

I use MS SQL Server database for GAGEtrak. Whenever I open GAGEtrak I get a message that says, "ODBC Not a Valid File Name." After I click OK, GAGEtrak opens. What causes this message ?


If this message causes no harm, but appears every time you open GAGEtrak, it may be because you have never verified GAGEtrak with MS SQL Server database for the current Windows user.
To eliminate the message, while viewing GAGEtrak’s Menu, on the menu bar, click File > Open Database.
You must check the Use ODBC checkbox and fill in the starred items, then click the OK button.
When the SQL database is relinked to GAGEtrak this way once, the information about the ODBC connection will be written to the Windows Registry for the current user and the warning message should no longer appear.

While using GAGEtrak, I get an error message that says, "Windows - Delayed Write Failed." This is followed by other errors including one that says my data is lost.


The Windows – Delayed Write Failed message does not reflect a problem with GAGEtrak or its database; it is caused by a Novell Netware setting.
We do not support Novell, but perhaps the following information obtained from Novell’s website may be helpful in correcting the problem:

How do I move my GAGEtrak database to a server ?


It is recommend that the GTData65.mdb file be stored on a server and accessed from there.
To identify the name and location of your current database file, please open GAGEtrak.
The drive letter, path and file name will be displayed in the lower right corner of GAGEtrak’s Main Menu form.
The .mdb file is the file that needs to be moved.
The default name for the GAGEtrak 6.5 and 6.6 Microsoft Access database is GTData65.mdb.
Please use Windows Explorer to copy and paste your database to the server.
After you have relocated your GAGEtrak database, open GAGEtrak.
While viewing GAGEtrak’s Main Menu, on the menu bar (upper left corner of the outside window), click File > Open Database > [Browse] button.
Here, you can navigate to the location of your GAGEtrak database and open it.
GAGEtrak will verify table links from this database file, and in the future, when GAGEtrak is opened, it will open to this database file.
After you have successfully linked to your database from the server, please disable the database copy still on your hard drive.
Using Windows-Explorer, open the folder 'C:\Program Files\CyberMetrics Corp\GAGEtrak 6.5' (or the location of your database file) and rename the duplicate file.
A good name for it is GTData65-BU.mm-dd-yyyy.
Replacing the file extension with the current date will let you know that this database file is a backup copy of your data as of that date.
Replacing the file extension will also prevent anyone from viewing this database file in the Open Database window in the future.

How do I set up an additional GAGEtrak database ?


Using Windows-Explorer, navigate to the location of your GAGEtrak database.
Here you will find a file GTData65.emp.
Copy this file and use it for your additional databases after changing the extension from .emp to .mdb.
Examples of database file-names may be:
GTData65-Fixtures.mdb, GTData65-Tools.mdb, GTData65-Plant1.mdb, GTData65-Plant2.mdb etc..
A disadvantage to having separate databases is that the Reports work for that database only.
So, you would generate a Report for one database, and then to view the other database's Report, change the database, and then generate the same Report again for it.
Instead of using different databases, many GAGEtrak users use 'Current Location' field to differentiate their data and Reports.
So, all gauges from one location would be on one Report, and all the gauges from another location would be on a different Report – but within the same database.
Yet another convenient way of differentiating Data as well as Reporting, is to Add a Prefix or a Suffix to your Gauge-IDs, such as F- for fixtures, T- for tools, G- for gauges, N- for north plant, E- for employee owned, etc..

I have multiple GAGEtrak databases. How do I switch between them ?


To switch between the databases, on the main menu go to File > Open Database.
The Open Database form is shown.
If you are using an MS-Access database, the file extension is .mdb, click the Browse button to select the File.
Now you see the 'Open File' dialog, where you can select a Drive Letter and proceed through Folders until you select the correct Database File.

After selecting the File, click Open on the Navigation screen and click OK.

Repeat above procedure to select another database.

I have run the scripts to create a new SQL database to be used with GAGEtrak. I tried to link to this database, but it doesn't work. What should I do ?


After you have run the scripts to create your new MS SQL Server database (GAGETRAK65) on your SQL Server, you will need to load it up with some default information that is required before a database can be used with GAGEtrak.

Please start in Control Panel by creating a System DSN named GAGETRAK65.
Schema Owner/Database: GAGETRAK65
User ID: GTLOGIN
Password: (Same as that in the Login Script)

Now you are ready to run the Data Transfer Utility for the new database activation.
1) Run the GAGEtrak 6.59 Data Transfer Utility [Start] > Programs > GAGEtrak 6.5 > Data Transfer Utility.
2) On Page 1 of 3 – Select Transfer Data. On Page 2 of 3, click the Source Database dropdown arrow and choose Version 6.5 (New). Click Next.
3) On Page 3 of 3 – Check that Destination Database is Version 6.5.
4) Click the Browse button to show the Open Database window.

Here please check the following:
Use ODBC
Use DSN
Schema Owner/Database: GAGETRAK65
DSN: GAGETRAK65
User ID: GTLOGIN
Password: (Same as that in the Login Script)

You should be able to successfully [Test] and open the GAGETRAK65 database at this point, but there will be no data in it yet.

If you have an existing GAGEtrak database from a current or previous version of GAGEtrak, you will need to run the Data Transfer Utility a second time, to transfer your data into your new GAGEtrak SQL database.

How do I install a software update ?


Let's say I have GAGEtrak 6.59 and I want to update to GAGEtrak 6.61 .. :

First, note the name and location of your GAGEtrak database.
This information is displayed in the lower right corner of the Main GAGEtrak screen.
You will see the drive letter, path and name of your database file - typically GTData65.mdb.

Next, close GAGEtrak and install the update.
The first time you open GAGEtrak now, if the database is the same as the default installed GAGEtrak database, it should readily link tables to your current database.
If it appears to have linked to some other file, you can change this and link it to your current database.
On the Main Menu (top left), click File > Open Database and click the Browse button.
In the Open File dialog, Please locate and open the correct current GAGEtrak database.
(Please refer the file location note that you made before the update.)

After completing the update, you should finally have the same database that you were using before installing the update.
Please do not run the Data Transfer Utility at any time during a software update ! This can cause all your data to be erased !

How do I move GAGEtrak from my old PC to my new PC ?


You can use Windows-Explorer to move your GAGEtrak database from your old computer.
To identify the name and location of the database on your old computer, please open GAGEtrak.
The drive letter, path and file name will be displayed in the lower right corner of GAGEtrak’s Main screen.
This is the only file that needs to be moved from the old workstation.
We recommend that you keep your GTData65.mdb file on a server.
After you have relocated your GAGEtrak database, open GAGEtrak on your new computer.
On GAGEtrak’s Main Menu (top left), go to File > Open Database and click the Browse button.
Here you can navigate to the location of your GAGEtrak database and open it.

How do I make sure that my gauges use the correct procedures ?


I want to make sure that all of my gauges have the correct procedures attached.
Instead of going through the entire database one gauge at a time, I want to generate a report that lists gauges by description and the procedures linked to them.
Under Gauge Reports, I see the "Gauge Listing Procedures," but this report displays the actual procedure text.
I would just like a gauge listing with its Procedure Name if any.
Is this available ?


Yes.
Please go to the Reports Menu and choose the Miscellaneous Reports category.
Here you will find the Procedure Listing Summary by Gauge ID.
If you view this report without filtering, it will provide the information you need.

Is there any way in GAGEtrak to delete all of my retired gauges at one time ?


GAGEtrak is designed to prevent accidental record deletion, so if you need to delete more than one gauge, you must delete them one at a time.
Whenever a gauge record is deleted, all child records of that gauge are also deleted !
This includes Calibration History, all the Issue-Tracking (usage) History, its Calibration Standards, attached Documents, relationship with Parts, any MSA studies, etc..


So, before you delete a Gauge record, it would be wise to check your Quality Department’s record retention requirements; you may be required to retain records for a certain number of years after you no longer use the gauge.
If you are planning to delete several Gauge records, it is a good idea to make a backup copy of the database using the current date as a part of the file name.
That way, if you ever need to look up historical information about any of the Gauge records you deleted, you will be able to do so.
Please keep in mind that if you did this and you decided later that you wanted these Gauge records brought into your current database, that it would be very difficult and time consuming to get all the information back again.

CHANGE GAUGE STATUS OR CREATE A NEW STATUS:
It is not necessary to delete a gauge to remove it from the Calibration Report or make it inactive.
All you have to do is change the Gauge’s Status to 2 (In-Active).

GAGEtrak comes with 5 Status descriptions to get you started:


You can add as many more as required.
In the case of a retired gauge, you can change the Status to 2–Inactive or create a new Status, such as 6-Retired.

To create a new Status:
1. From the Main Menu, navigate to Setup > Status ID Entry.
2. The record navigation bar at the bottom of the Status ID Entry window will display Record 1 of 5. Click the New Record button.

3. In the new, blank record, type Retired in the Status Description field. It is not necessary to enter the Status ID; GAGEtrak will automatically number it for you.


4. Click the button in the upper right corner of the Status ID Entry window to close it.

5. Navigate to the Gauge Entry > Information tab and the Status drop-down list will now contain 6-Retired.

How do I remove items from a drop-down list ?


There is an employee who left the company and that person's name still appears in Calibration Entry in the 'By' drop-down list.
Also, there are some companies on this list that no longer calibrate Gauges.
How can I remove these names from the drop-down list ?


Only Active employees and Enabled suppliers will appear in the By drop-down list in Calibration Entry.
Navigate to Main Menu > Main Records > Staff Entry, then find the record for the employee who left the company.
Remove the checkmark from the Active checkbox.
To remove the company names for companies that no longer provide outsourced calibrations, please go into Supplier Entry, find the company name and remove the checkmark from the Enabled checkbox.

How do I attach a calibration certificate to a gauge ?


When my gauge block set, Gauge ID MB-81PC-US-CB, comes back from calibration, I get a calibration certificate in .pdf format.
How can I put this certificate into GAGEtrak for future use ?


You can save the .pdf file for the calibration of your gauge blocks to your server.
For example, you might save it to a location, and a name like :
Q:\Quality\Calibration Certificates\2009\MB-81PC-US-CB_11-24-2009.pdf
If you always save the calibration certificate files with the Gauge ID and the Calibration Date as part of the file name, everyone will be able to identify them immediately.
All of the users of GAGEtrak will need permission to view these files on the network.

To attach the certificate file to the calibration for the gauge blocks, please go into Calibration Entry and find the calibration (or enter the calibration for the gauge block set if you haven’t entered it yet).
Then click the Additionals tab.
In the bottom section of this form, between File and File Description, click the [. . .] browse button.
This will open the navigation window where you can go to your server and select the .pdf file that applies to this particular calibration.
At any time in the future, you can open the certificate by clicking the [View/Print] button.

How do I delete a calibration record ?


I started entering a calibration record, but I was interrupted. Later, I entered another one. Now I have two calibrations for the same gauge on the same day. How can I delete one of them ?

Find the calibration record you wish to delete, then click the Delete button on the GAGEtrak Toolbar. The delete button is fourth from the left on the GAGEtrak Toolbar and looks like a red X. When you point to it with your mouse pointer, it will display 'Delete Record'. On clicking the Delete button, at the Prompt : Calibration Record Delete - All associated measurements for this calibration record will also be deleted ? Are you sure you want to delete ? click Yes if you want to Delete the Calibration Record..
A message Confirming the Deletion is then shown.

When you need to delete any record in GAGEtrak, it is a good idea to pay attention to the Title Bar of the delete Message Prompt.
When you are deleting a Calibration, the Title Bar will say Calibration Record Delete.
You would not want to make a mistake and accidentally delete the gauge.

How do I enter a calibration procedure ?


One of the great features of GAGEtrak is being able to link a procedure to one or more Gauges.
Each Gauge can also have more than one Procedure linked to it.
In Gauge Entry, click on the Procedures tab to see the Procedure Title, Text, Picture and Attachments.

Now, how do you get those procedures on the Procedure tab ?
After all, you can't just type a new procedure into the Procedure tab.
Entering a new Procedure is done from the Main Menu > Main Records > Procedure Entry.
This is where you setup your library of procedures.
In Procedure Entry, you can type, paste and link procedure information.
Each tab in Procedure Entry offers opportunities for easily defining your Procedure.
By clicking the New Record button you may add as many Procedures as you like.
Of course, each must have a unique name.

Once you have created the procedures, return to Gauge Entry > Procedures.
You may now select the correct Procedure for that Gauge (you can also link more than one Procedure to a Gauge).
Use the New Record button on the bottom of the Procedure sub-form to link more Procedures to the Gauge.
Once the selection is made, all the tabs will be populated with the information you entered in Procedure Entry.

How do I change the Frequency of Calibration after the Gauge is already established in GAGEtrak ?


To save money and time Gauge Frequencies may be extended between Calibrations. For instance, 6 months after a Gauge with a 1 year Calibration has been calibrated, management determines that its Frequency can be extended to 2 years.

The concern is that advancing the date without a matching Calibration Record may create an opportunity for an Auditor to issue a finding.

When I upgrade my software, how do I Import the data over from my existing version to the new version ?


If a transfer of data is necessary, each of our products includes a Data Transfer Utility (DTU).
The DTU is typically only necessary if you are upgrading a full version number (e.g. you are upgrading from version 6 to version 7).

How do I use traceability in GAGEtrak ?


Traceability is a key Consideration in the Design and Functioning of the GAGEtrak software.
All Gauges must be traceable to a NIST Standard.
To this end, GAGEtrak considers two classifications of Gauges.
One is a Reference Gauge, frequently called a Standard.
This is a Gauge used to verify working Gauges, such as Gauge Blocks and Pin Gauges.
The second classification is a Non-Reference Gauge which is a working Gauge used on the floor to verify the Product, such as Calipers and Micrometers.

Reference Gauges are frequently sent out to a Calibration Service to be verified.
When they are returned, they are accompanied by a Certification of Calibration, which will include the NIST number of the working Master Gauge used to verify your Reference Gauge.
Non-Reference Gauges are usually verified in-house.
The Reference Gauges are used to perform this verification.
GAGEtrak provides a path to track the working Gauge back to the working Master Gauge used to verify your Standard Gauge.
For GAGEtrak to provide Traceability, the Reference (Standard) Gauges must be entered into the system correctly.
The following fields in Gauge Entry play a key role when setting up a reference Gauge for verifying non-reference Gauges:

1)Gauge ID - This is a required field which must contain a unique value.
2)Status - A Reference Gauge must be 1 - Active or it cannot be used for verifying.
3)The 'Reference Standard' checkbox must be checked.
4)The 'NIST Number' field should have the Number from the Certificate of Calibration.
5)Type - This is a key field for automating the Traceability activity. Example: All Gauge Blocks or Gauge Block Sets might be listed as Gauge Blocks; likewise, Pin Gauges, etc..

6)On the Calibration Schedule tab, the Reference Gauge must have a Calibration Frequency and be in Calibration.

The non-reference (working Gauge) Gauges must have the following fields:
1)Gauge ID - This is a required field which must contain a unique value.
2)Status - A Reference Gauge must be 1 - Active or it cannot be used for verifying.
3)On the Calibration Schedule tab, the Gauge should have a Calibration Frequency and Last Cal Date if it is Active.


Once Gauges in the above classifications are entered into GAGEtrak, we can set up Measurement Requirements, called Standard IDs, for validation of non-reference Gauges.
Of course, the reference gauge must be a Gage you would use to verify the non-reference Gage.

Standard IDs appear in three locations within GAGEtrak:
Gauge Entry > Standards,
Calibration > Calibration Measurements
and Standard Groups. The Standards sub-tabs in these locations are similar, but the Standards sub-tab in
Calibration > Calibration Measurement
contains fields for entering Measurements, making it somewhat unique.

The Standards sub-tabs are where the traceability link is established.

The fields which establish the links will be addressed below. Understand that we are skipping several fields to focus on linking a non-reference Gauge to a reference Gauge. Since the reference Gauge has a traceable NIST number, the non-reference or working gauge has a traceable link to the master gauges at NIST. The Standard IDs will be created as data for the non-reference gauge.

Standard ID -This is a required field that uniquely identifies the Measurement. Numbering works well (as 01, 02, etc.)

Reference Type - We skipped several important fields, so we can remain focused on traceability. This field has a drop-down list of Gauge-Types. The list is populated by the Gauge Entry Type field, filtered by whether a Gauge is checked as a Reference Gauge. In other words, your Gauge Blocks would show up in the list because you have checked them as Reference Gauges, listing their Type as Gauge Block. Calipers will not show up here because they are non-reference, working Gauges.

Gauge ID of Standard - Refers to the Gauge ID of the reference Gauge you will use to verify the non-reference Gauge. As a convenience, only gauges of the type you selected in the Ref Type field will appear in this drop-down list. That means, if you have 10 gauge blocks listed as reference gauges and typed as Gauge Block, only those Gauge IDs will appear in the drop down list.

As an additional note, for a reference Gauge to be available anywhere in GAGEtrak, it must be Active and in Calibration.

Why does my GAGEtrak software bring up a message stating it is going to expire, even though I purchased the software ? The message states that I need a trigger code to activate the software ?

You can easily export GAGEtrak data to most of the standard Windows programs, such as Microsoft Excel, Rich Text (Microsoft Word), HTML or text.
To export data, select the Import/Export option on the Tools and Utilities Menu.

You can import data from most formats, including Tab Separated Text; Comma Delimited Text; Excel and Lotus 123 spreadsheets; dBase and Paradox.

Does GAGEtrak have bar code support ?

GAGEtrak works with any bar code reader configured as a "wedge" (as most are).
In fact, the Issue and Return screens have been optimized to support bar code input (of course, you can still use manual keyboard entry).

GAGEtrak provides extensive multi-level Security for each major area of the program.
Users can be granted one or more rights.

Are the database fields large enough for my data ?

Most of the GAGEtrak fields are 50 characters, except of course for dates and numeric fields.
Memo fields can hold up to 64 K each.
Because of the extremely efficient manner in which GAGEtrak stores fields (variable length fields), there is no wasted disk or memory space.

Other competing maintenance management packages that rely on older technology such as dBase, Btrieve, Paradox, FoxPro and ASCII databases utilize fixed length fields.

For added security, you can set GAGEtrak to log all record changes to an Audit Trail file.
To do so, enable the Audit Trail in your Settings menu.
To access the Settings menu, go to your Tools and Utilities menu.
Settings is the first option.
If your company needs to comply with ISO 9001:2000 or ISO/TS 16949 Document Identification and Control requirements, each report can be uniquely identified with a document control number.
The Document Control Text ID will appear at the bottom of all Reports.

Every time I try to View or Print any of the Reports in GAGEtrak, I get these messages: "Class Factory Cannot Supply Requested Class" and "Object Variable or With Block Variable Not Set." Why ?


The first message, “Class Factory Cannot Supply Requested Class” indicates that the Report Designer file needed to generate all of the GAGEtrak reports was not correctly registered in the Windows Registry when GAGEtrak was installed.

To correct this problem, it must be manually registered as follows:
Click the Windows [Start] button, then select Run.
In the Run window, next to Open enter: Regsvr32 cReport2DesignerGT.dll (for GAGEtrak 6.5 or 6.6)
Regsvr32 cReport2Designer.dll (for GAGEtrak 6)
Then click the [OK] button.
You should get a message telling you that the file was successfully registered.

Registering the cReport2Designer.dll file may eliminate both of the report messages.
If the “Object Variable or With Block Variable Not Set” message still appears, it indicates lack of permission for the Report Designer file for the currently logged in user of GAGEtrak.
For a report to be successfully viewed or printed, the Report Designer file must create a report object.

Thus, the logged in user must have modify/read/execute/write permissions for the Report Designer file.
(These are the permissions automatically granted to the Local Power User of the Local Machine.)
The Report Designer file is installed as follows:
C:\Windows\System32\cReport2DesignerGT.dll (for GAGEtrak 6.5 or 6.6)
C:\Windows\System32\cReport2Designer.dll (for GAGEtrak 6)

Why doesn't GAGEtrak's installation finish ?


GAGEtrak never finishes its installation.
When it gets to the end, it stops on OLEAut32.dll (or another file) and nothing more happens.
How can I force GAGEtrak to complete its installation ?


Microsoft’s OLEAut32.dll (and other files) are used by other Microsoft software.
Please close all other programs before installing GAGEtrak.
This may solve the problem.

OLEAut32.dll (and other files) are often “protected files”, protected by your virus scanning software, your anti-spam software or your group policy.
You may have to temporarily disable some or all of these items to install GAGEtrak.

During the installation of GAGEtrak, executable files and registry keys are installed in various locations.
Permissions to install these files or write to the registry may be prohibited.
If you are still not able to install GAGEtrak, you can log into the workstation as a stand-alone, bypassing the domain, and install GAGEtrak.

The Reports Menu in GAGEtrak has disappeared. How do I get it back ?


When I click the [Reports] button, there is nothing there. How can I get my Reports back again ?

Please close your GAGEtrak program and re-install it.
This will immediately restore the Reports Menu.

The loss of the Reports Menu can be traced to System Errors, caused by electrical problems like power outage, loss of connectivity to your server, accidentally rebooting the PC, stormy weather, etc.
Just like any other program or file, leaving your GAGEtrak program open overnight or weekends will expose your files to more possibilities for power outages or fluctuations in the power supply.
Also, some network backup programs do not back up files that are being used.
This is another good reason to always close GAGEtrak when you leave.
The loss of the Reports Menu does not affect your data.
It is not necessary to uninstall GAGEtrak before re-installing it.

What kind of information can I enter into the Plus Tolerance and Minus Tolerance when I am setting up my Standards or my Standard Groups ?


The Plus Tolerance and Minus Tolerance fields will accept only numerical values or percentages.
You cannot enter any text into these two fields.

Here are three examples of different tolerances:
Numerical Value: If you are calibrating a digital micrometer, the plus and minus tolerances might both be .001 or .0001. In the case of a Go/No-Go gauge, one tolerance might be .000 and the other tolerance might .001.

Percentage: You will only want to use the % sign in the plus and minus tolerance when you want to apply a percent to each different value you are testing. If you are calibrating a tool that has a plus and minus tolerance of .001 when you are measuring 1 inch, a plus and minus tolerance of .002 when you are measuring 2 inches, and a plus and minus tolerance of .004 when you are measuring 4 inches, you would set the Plus Tolerance and the Minus Tolerance to .1%. GAGEtrak will calculate a minimum and maximum measurement correctly for every value. For every size, the plus and minus tolerances will be different.

Percentage of Full Scale: When you know that the tolerance of the gauge is a percentage of full scale, you would enter a value into the Plus Tolerance and Minus Tolerance fields, not the percentage. This tolerance would be the same for every measurement because the tolerance is not based on an individual measurement, but instead is based on the maximum measurement of the operating range. In an example of 0 – 200 psi with 2% of full scale, you would calculate 2% of 200 (4 psi) and enter 4 into the plus and minus tolerance. You will only want to use the % sign in the Plus Tolerance and Minus Tolerance fields when you want to apply the percentage to each different value you are testing. In the percentage of full scale, you will be entering a value and the Plus Tolerance and Minus Tolerance for every size measured will be the same.

After you have entered your Plus Tolerance and Minus Tolerance, you can enter your Nominal Values for each standard and GAGEtrak will automatically calculate the correct Minimum and Maximum Values for each Nominal.

In a case where the same way of calculating the Plus Tolerance and Minus Tolerance does not apply to every standard, you can change these tolerances appropriately before entering the Nominal value for each Standard ID. An example of this situation might be if you are calibrating a Gauge or Standards that use different Units of Measure.

Why does GAGEtrak have all these Calibration frequencies ? Aren’t 365 Days, 52 Weeks, 12 Months and 1 Year the same ?


Not exactly.
365 Days will calculate a next due date exactly 365 days later.
To see how this works, it is interesting to use an example from a leap year.
If a calibration was performed on 20-Jan-2012, the next due date will be 19-Jan-2013.
If the calibration was performed on 20-Jan-2011 (not a leap year), the next due date will be 20-Jan-2013.
Whether it is a leap year or not, the 1 Year Calibration Frequency will make the Gauge due for Calibration one year later on the same day of the month.
52 weeks is the same as 7 days x 52, or 364 days.
12 months will calculate the next due date one year later on the same day of the month.

I just installed GAGEtrak, but I cannot use it because it is asking me for a User ID and Password and I do not know what this is .. ?


If you have installed GAGEtrak under the 21CFR11 option, it will always require a security log in. After you have installed under 21CFR11, you can log in as the Default user:

User ID: Default

Password: Leave the Password blank and click the [OK] button. GAGEtrak will prompt you to create a Password for the Default user. After you have opened the GAGEtrak program as the Default user, you will want to create a user account for yourself:
1) On the left side of GAGEtrak’s Main Menu, click Setup, then click Security and choose the Users tab.
2) Next to User ID, enter one for yourself. It can be letters or numbers.
3) Next to Name, enter your name.
4) Click the [Add] button to add yourself as a user of GAGEtrak.
5) In the lower portion of the Users window, highlight the Admin group.
6) Click the [Add >>] button to make yourself a member of the Admin group. The Admin group has permission for everything in GAGEtrak.
7) Click the [Password] button and enter and confirm your password.

Now you can close GAGEtrak, open it again and test your new User ID and Password.

Everything else in GAGEtrak works, but when I open GAGEtrak and every time I try to print a report in GAGEtrak, I get an error message : XML Load failed .. ?


Error: XML Load failed.
Please check filename.
At Line: 7 at GetReportFieldControls([sReportName]=Cal Due Listing by Due Date) Function from clsReportDesignerclass.
[    OK    ]


If this message appears for every report in GAGEtrak, it would indicate that you are logged into the workstation as Local User of the Local Machine and you are lacking permissions for the report files and registry keys required to print reports in GAGEtrak.
GAGEtrak is designed to be used by a Local Power User of the Local Machine.

How do I use the Automatic Calibration report in GAGEtrak, the one that appears when I open GAGEtrak ?


From GAGEtrak’s Main Menu, click the Setup > Settings > General tab.
In the upper left area of this window, you can add/remove the checkmark from the [x] checkbox to enable or disable the Automatic Gauge Due Listing report.
Please note that if you use this report, you have the option to [x] Include Past Due items and you can change the time range.
The Start Frequency sets the beginning date for the report.

The End Frequency is the number of days, weeks or months in the future.
Since this report will appear every time you open GAGEtrak, we recommend that you [x] Include Past Due and select a small number of Days for the End Frequency.
You can use any of the calibration reports in Open Calibration Reports to generate the calibration list for longer, or more specific date ranges – such as all of the calibrations due this month or the next two or three months.

What is a quick indicator that a Gauge is always out of Calibration before it is due for Calibration ?


You might use the A1 Frequency adjustment.
If your Gauge starts with a Frequency of 6 months, then each time it fails “As Found,” the Frequency is reduced.
You know how much the percent reduction calculates to, in terms of months.
So when the Due Report says the Frequency for the Gauge is reduced by several of these increments, you know that you have a problem with that Gauge.

My Report Preview [Send] feature stopped working. I was previously able to e-Mail GAGEtrak Reports from the Report Previews, but now I get an Error message that says: Object Does Not Support This Property or Method .. ?


The Microsoft's bug-fix KB961260 is a recent update for Internet Explorer 7, that fixes issues with IE that could allow a malicious code to execute. It in-effect disables the Windows socket control that GAGEtrak uses for e-Mail.
There is a fix for this, which uses more recent Windows files than this KB, and affords the same protection, but allows GAGEtrak to send e-Mails.

GAGEtrak 6.5/6.6 had been running without any problems on the same workstation for a long time. Now I got an error message that says “Error 2709: An internal error has occurred. Global_PIA_OWC11”. How can I overcome this problem ?


Around Aug-2009, Microsoft released security updates for the MS Access 2003 Runtime. Depending on the version of Microsoft Office you are running on your PC, a different security update would have to be installed.

These updates will not be compatible with the MS Access 2003 Runtime that is used in GAGEtrak versions 6.56 up to 6.61.

If you are running a version of Microsoft Office that is older than 2003, you may have the Microsoft KB-904018 update for MS Access 2003 Runtime installed. Removing KB-904018 solves this problem.
In Windows, go to Control Panel > Add/Remove Programs and click on Show Updates at the top. Then scroll down to the bottom of the list to view updates.

If you are running Microsoft Office 2007, the MS Access 2003 Runtime update from Microsoft Access would be KB-947319.

If you are unable to remove either of these updates in your Windows Control Panel, you can use the Windows Installer Cleanup Utility available for download from Microsoft at : http://support.microsoft.com/kb/290301/.

I modified one of the Reports in GAGEtrak, now it does not work. It has scripting errors. How can I get the original Report back ?


Open the Report in Custom Reports in design view.
On the Menu, click Tools > Restore.
This will restore the original Report.
Most likely your Modified Report did not work because you deleted items you did not want to see on the Report.
Any controls on a Report that you do not want to View can be hidden.
Some of these Controls must be present on the Report for the Report to work.
To hide a Control, click on it to select it.
Up on the Report Editor’s Menu bar, click View and select Property Toolbox.
In the Property Toolbox, look for the Visible Property of the control.
All of the properties in the Property Toolbox are listed in alphabetical order.
After you highlight the Visible property, you can change it from True to False.

What date formats does GAGEtrak Support ?


All date formats are supported..
i.e. 2011/11/02, 11/02/2011, etc.
and can even be run in a mixed mode on a network.
i.e. if some users prefer dates to displayed one way and other users prefer their dates another way.

The reason for this flexibility is that internally, date fields are really stored as format-independent numeric values.
The same format independence holds true for decimal numbers, currencies and time values.
This is one of the reasons our products are used worldwide.

I went into Setup > Custom Reports and I modified a Report. Now when I go to the Reports menu and try to use the New Report, it tells me I do not have permission for my Report. Why ?


Whenever you create a New Report or save an existing Report with a different Report Name that is new, there will be no Permissions for this Report.

Please go to Setup > Security > Group Permissions window and assign Permissions for each Group that will use the Report.

To assign Permissions for your Report to the Admin Group, click the Group drop-down arrow and select “Admin".
On the left side of the form, next to Select Object, select “Report".
Using the Select Form/Report drop-down list, select your New Report.
In the lower portion of the window under Permissions, you can assign Print Permissions.

You must assign Permissions for your Report to each group.

I modified one of the Calibration Reports in GAGEtrak and I saved it with a different name. Now the Report Filter is not there. Why ?


Only the Reports that come with the GAGEtrak program have a special Quick Filter.
If you have not made major modifications to the Report that came with GAGEtrak, you can save the Report with the original Report Name and use the convenient Quick Filter that belongs to the Report.

Why does GAGEtrak keep logging me out and making me enter my User ID and password to log back in ?


GAGEtrak logs the user out, after a certain number of minutes of inactivity. This setting can be changed.

On the GAGEtrak Main Menu, go to Setup > Settings > Security window.
Look on the left side of the window for User Login Timeout Period (minutes).
This is the number of inactive minutes allowed prior to having to log back in.
You could set this to 240 minutes (4 Hours) or another number, that ensures you need to log into GAGEtrak less frequently.

How do I import a Report into GAGEtrak ?


Printable output from GAGEtrak is from its defined Reports. e.g. a label is actually a defined Report.

An Active Reports 2 file ready to be imported into GAGEtrak will have the extension .rpt. For instance a Calibration-Work-Order Report, when Expoetrd to a file on disk, will have a file name: Calibration Work Order.rpt.

If you have been supplied a Report or Label that you want to import into GAGEtrak, please place the .rpt file into a folder on your computer's hard drive. Make sure you know where this folder is and how to reach it in Windows Explorer.

The Import Process :
1. Launch GAGEtrak 6.
2. Go to Set Up > Custom Reports.
3. Select the Import/Export tab. We will be working on the bottom half of the form.
4. Please select the Drive Letter for Report file path. In the folders box, navigate to the Report folder.
5. When you open the folder, the Report will appear in the right pane.
6. Select the Report file at the right.
7. Click on the Import button at the bottom.

Accepting the Report :
1. If there are no other Reports with the same name as the one you are importing, you will see a message after the Report has been imported. The message box will say: One Report successfully imported.
2. If a Report already exists by the same name, you will be asked if you want to overwrite the current report. Click YES if you do or NO if you do not.

Permissions to use the Report :
1. Before you can use any New or imported Report you must give yourself Permission to use it.
2. Go Setup > Security.
3. Select the Group Permissions Tab.
4. Select your User Group from the drop-down (most likely Admin).
5. Select Reports from the radio buttons on the left.
6. Select the Report Name from the Reports dropdown list on the right side.
7. In the Permissions pane on the bottom of the form, select Print.
8. Close the Security form using the X in the upper right corner on the forms control bar.

Test the Report in the Reports Menu or Calibration > Labels.

How do I print measurement requirements ?


Measurement Requirements can not be printed from the Standards Tab in Gauge Entry or from the Measurements Tab in Calibration Entry.
Instead, print the Calibration-Work-Order Report in
   Reports > Open Calibration Reports > Calibration Work Order.

How do I add a new supplier record ?


To add a new Supplier in Supplier Entry, click on the New Record button and type in the Supplier ID and Supplier Name.
These are the only fields required to add a new Supplier in Supplier Entry.
We suggest that you make the Supplier ID an easily recognizable abbreviation of the company name.

What is a Gauge Family ?


A Gauge family is defined by two data fields.
The first is the Type, and the second is the Frequency.
For the purpose of the A3 Auto Frequency adjustment method, these fields together define the family.
When A3 determines that the family qualifies for a Frequency adjustment, the adjustment applies to all Gauges in the family.

Having only 5 options for Gauge Status is not sufficient. How do I define a new Status ?


To add a Status go to Set Up > Status ID Entry.
Create a new record, assign a number and the description.
You will see this new Status in the Gauge Entry > Information screen in the Status drop-down list.

Additionally, there is Gauge Report which will allow you to identify all Gauges with a particular Status.
